What is a Position Description? 
  • A job or position description is a written narrative that describes the general tasks, or other related duties, and responsibilities of a position.  They also typically include information about skills or qualifications.
  • It may specify the functionary to whom the position reports, specifications such as the qualifications or skills needed by the person in the job, information about the equipment, tools and work aids used, working conditions, physical demands, and a salary range. 
  • Some organizations add annual goals or key projects to tend to their position descriptions to create greater alignment with their strategic initiatives. 

What's the purpose of a Position Description?
  • The purpose is to ensure that you’re hiring the right people to fill the right positions. It's a living/evolving tool that reflects the current needs of the position, which continues to propel the organization forward.
  • Well-written and effectively-developed job descriptions are communication tools that allow both employees and candidates to clearly understand the expectations of the role, its essential duties, the competences [and] responsibilities, along with the required educational credentials and experience.
  • Position descriptions help ensure that the goals and values of your organization are reflected within the job description. Reflecting core values in a job description helps to ensure behavioral accountability and increase commitment to the mission and vision.

Administrative Assistant

Position Summary (Version 1)
This 30-hour/week position oversees all activities of the church office, provide a welcoming, positive, and confidential environment for guests during office hours and providing administrative support to church staff and volunteers. This position handles many aspects of behind-the-scenes communication, administration, and logistical duties to support ongoing church ministries and reports to the Lead Pastor. This role requires professionalism, confidentiality, a strong work ethic, and attention to details. Requirements for this position is demonstrated proficiency ins Microsoft office, database software and working with a variety of communication platforms.

Primary Responsibilities
  • Perform office management tasks such as maintaining office supplies, files, etc. 

  • Provide administrative support to staff members and ministry leaders as needed.
  • Create a welcoming environment while performing tasks including receiving guests, scheduling meetings, and responding to voicemails, emails, etc. 

  • Coordinate and maintain the church calendar to ensure facilities are used efficiently. 

  • Maintain accuracy on the church website and ensure updates are regularly made. 

  • Maintain and update church records (for attendance, membership, etc.) using the church database software and provide weekly reports to the Lead Pastor.
  • Strategically communicate key events and information to the church by producing the weekly bulletin and other printed communication and managing registration for events.

Additional Responsibilities
  • Understand and apply effective Search Engine Optimization (SEO) strategies to ensure that church websites are easily found in online searches. 
  • Develop monthly activity reports that show the use and effectiveness of the church’s websites and apps. 

  • Maintain network data security including: user access controls, ensuring OS security patches are tested and promptly applied, data backups, internet firewall configuration, and virus/worm prevention and elimination.
  • Perform regular assessments of technology needs, evaluating new technology to determine if it would be beneficial for the church’s websites; install, configure, and test new hardware and software. 

  • Make recommendations to the Communications Director for the development and implementation of a strategic plan for the church’s websites and apps.
Position Summary (Version 2)
The Administrative Assistant ensures timely flow of information among staff and within the congregation. This individual maintains the online calendar, schedules meetings and facilities space, and produces and prints all publications. This individual should 
  • Possess strong writing, editing, and proofreading skills
  • Be  proficient with using Office 365 and Canva (for newsletter and publications).
  • Have a high school or college diploma.
  • Be familiar with online databases, data storage and website design.
  • Must be available from 9am to 1pm (Tuesday – Friday).

Primary Responsibilities
  • Answer telephone and respond to voicemail messages.
  • Screen emails and reply to emails; forward on to appropriate parties.
  • Maintain online (Google) calendar; schedule facilities space or coordinate building use requests.
  • Create and archive all correspondence; archives documents via Dropbox.
  • Manage and maintain membership database.
  • Coordinate the scheduling of rooms and equipment requested by individuals and organizations.
  • Produce the monthly newsletter, the weekly e-news, worship bulletins, welcome brochures and the annual report.
  • Post news items and leadership reports on the website; update the homepages with current content.
  • Post worship and blog content on Facebook every week.

Additional Responsibilities
  • Helps facilitate annual pledge campaign correspondence.
  • Enter benevolence information into confidential database.
  • Work with couples to coordinate counseling appointments and wedding logistics.
  • Keep the office space neat and organized.


App/Website Developer

Position Summary
The role of the App/Web Developer is to provide support and development for the church’s web-based software, including the church website and church management software. The App/Web Developer is responsible for the day-to- day maintenance and operation of the church website, coordinating all web functions, and identifying and incorporating new technologies into the website. This role serves as the lead developer for custom projects (including mobile apps) and reports and assists with website updates as needed. This position reports to the Communications Director. This position works closely with the staff Web Designer and Communications Coordinator and currently has no staff supervisory responsibilities. This is a full-time, salaried position around 40-45 hours a week with four days spent in the office and one day of flexible working location. This person strives to use media to tell a story, has proficient computer knowledge and experience with Microsoft Office applications., has strong skills in PHP, MySQL, HTML, CSS, JavaScript, and WordPress, is able to multitask and prioritize work assignments, and can work collaboratively with others.

Primary Responsibilities
  • Lead the planning and implementation of web content and design elements for the church website. 

  • Design the information architecture of the website to ensure easy navigation for site visitors.
  • Serve as the expert consultant for staff in developing web content that supports the church’s mission, vision, goals, and strategic objectives. 

  • Work with the staff web designer to implement and maintain a consistent design for the church website. 
 
  • Provide ongoing technical support to visitors/users of the church website and apps.

Additional Responsibilities

Director of Multi-media

Position Summary
The primary responsibility of the A/V Director is to provide technical expertise and team leadership for the church’s sound, media, video, and stage-lighting. The A/V Director is also responsible for audio/video technical and creative development, production, and training related to the live production audio/visual needs of our church. The A/V Director ensures that the worship and A/V ministries continue to grow in effectiveness and quality of excellence in alignment with the church’s vision, mission, and strategic objectives. This individual skilled in creating and mixing quality sound in large venues, is proficient in working with a variety of audio, video, media, and lighting equipment, has strong communication and leadership skills, is proficient in Final Cut Pro, ProPresenter, ProTools, etc., and is able to work in a rapidly changing environment with multiple priorities. This position reports to the Worship Pastor. This position relates to the worship and production teams and supervises one staff Production Coordinator. This is a full-time, salaried position around 40-45 hours a week with four days spent in the office and one day of flexible working location.

Primary Responsibilities
  • Provide excellence in front-of-house operations for all weekend services and training to improve the sound mixing skills of current FOH volunteers. 

  • Partner with worship team staff members to develop plans and strategies for ongoing A/V improvements. 
  • Establish standards of A/V operation and quality and work to meet and/or improve these standards. 
 
  • Build and lead a team of A/V and production volunteers. 

  • Assist in planning, organizing, and implementing the best uses of media technology in worship.

Additional Responsibilities
  • Oversee the implementation of A/V aspects for weekend services and events, ensuring high quality and limiting distractions. 

  • Purchase and maintain A/V equipment. 

  • Direct management of A/V quality during weekend worship services and other events. 
 4.Record video and audio worship services for the online broadcast of weekend services.

Administrative Pastor

Position Summary
The Administrative Pastor collaborates with our Lead Pastor to oversee the main office, church ministries, and volunteers. The Administrative Pastor uses analytical, business, and discipleship skills to provide business, operation, and spiritual leadership support to the church. This position reports to the Senior Pastor, relates to the leadership team, and oversees 5 volunteer office personnel. This individual participates in weekly, monthly, quarterly and annual team meetings as a part of the leadership team. This is a full-time, salaried position around 45 hours a week, with four days spent in the office and one day of flexible working location, and may travel 15-25 nights a year for camps, conferences, or retreats.

Primary Responsibilities
  • Develop and administer the policies and procedures of the church. 

  • Oversee the financial health of the church, including payroll, records, insurance needs, bill payment, and accounting
    processes.
  • Develop disciples as servant leaders.
  • Identify the percentage of members/attendees who are actively volunteering, and increase volunteer involvement
    percentage over the next year.
  • Implement a consistent development and performance review process for church staff that includes monthly
    leadership development time for staff and lead volunteers, and an updated staff on-boarding process.

  • Identify growths in giving over time and tools for improvement' maintain a weekly report of giving growth metrics and
    researching and implementing a text-to-give service by the end of the first year.

Additional Responsibilities
  • Provide direction for the weekday operations of the church office. 

  • Organize and supervise office staff and volunteers. 

  • Oversee the security of the church. 

  • Maintain an inventory of church property and equipment.
  • Administer policies and procedures concerning the use of all church property and facilities, including coordination of assigned rooms for meetings and activities.

Associate Pastor

Additional Responsibilities
  • Provide direction for the weekday operations of the church office. 

  • Organize and supervise office staff and volunteers. 

  • Oversee the security of the church. 

  • Maintain an inventory of church property and equipment.
  • Administer policies and procedures concerning the use of all church property and facilities, including coordination of assigned rooms for meetings and activities.
Additional Responsibilities
  • Nurture and model a vibrant faith – Tend to your physical, emotional and spiritual needs in order to model a vibrant faith and life for staff and members, living the Four Key faith practices in daily life. 

  • Serve as staff liaison to Building Design Team – Provide feedback, insights and staff perspectives to the Building Design Team’s proposals. 

  • Serve as liaison for Technology Issues – Provide staff input and leadership related to technology issues such as the internet, website, computer equipment and software, church management system, and email distribution prayer chain.
